Itinerary

GDS Mastery practical guide
A concise learning reference for travel and hospitality professionals.

Purpose of an itinerary

An itinerary is the traveller-facing operating plan for a trip. It should convert multiple bookings into one clear sequence while separating confirmed services from suggestions or optional activities.

Essential information

Every itinerary should show:

  • Travel dates, local times and time zones.
  • Flight, rail or coach details with terminals and reporting times.
  • Hotel names, addresses, check-in and check-out rules.
  • Transfer pickup points and emergency contacts.
  • Tour inclusions, exclusions, meeting points and duration.
  • Visa, health or document reminders with dated sources when rules may change.

Quality checks

Validate names against travel documents, check chronological order, allow realistic connection time and make sure every service has a matching supplier confirmation. Remove internal rates, private remarks and supplier-only contact details from the traveller version.

Change control

When one component changes, update the master itinerary, traveller copy, supplier instructions and internal control sheet together. Record the revision date so teams do not work from an outdated version.

Operations takeaway

Translate supplier terminology into clear traveller-facing language, retain written confirmation and verify any critical request before arrival.
